Optometrists and optical shops

Accounting software for optometrists: frame inventory, exams and insurance receivables

An independent eye care practice is a clinic and a retail store in one. AcboBooks keeps frames and contact lenses as inventory at average cost, separates exam income from optical sales, and tracks what each vision plan owes you.

For independent optometry practices and optical shops in the US and Canada, $399.99 once.

No card, no account. Windows 10 and 11. United States and Canada.

What it means

In practice

Frames that add up

Frames, lenses kept in stock and contact lenses are inventory items. Each sale posts its cost of goods, and the Inventory Valuation report matches the balance sheet.

Exams and eyewear apart

Exam fees and optical sales are separate income accounts, each item with its own tax setting, so the P&L shows the clinic and the dispensary side by side.

Plans as receivables

Each vision plan or insurer is a customer. Invoice the plan's portion, collect the patient's share on a sales receipt, and the A/R Aging shows which plans are slow.

A profit and loss report

Exams and optical sales side by side.

Your practice software runs the exam room. AcboBooks runs the books.

Enter the day's totals from your practice management system, split into exams, eyewear, contacts and tax. Lab bills for each patient's lenses go in as bills, and frame orders come in on purchase orders.

Count the frame board at year-end and adjust the differences, and inventory is right for the tax return.

What it does not do

· Not practice management software: no scheduling, patient records or insurance claim submission.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Are glasses taxable?

Many US states exempt prescription eyewear from sales tax, while frames sold without a prescription and sunglasses are often taxable. In Canada, eyewear supplied on a prescription is zero-rated and eye exams by an optometrist are exempt. Set each item to match.

Does it connect to my practice software?

No. Enter the daily or weekly totals as a sales receipt. It takes a few minutes.

How do I handle what a vision plan does not pay?

Apply the payment to the invoice and write off the disallowed balance from the A/R Aging, or bill the patient for their share.

Can two people use it at once?

Yes. Two computers are included, over the office network.
