Privacy Policy
Last updated: October 2026 · Draft for attorney review before public release.
Draft. This policy is being finalised by counsel and will be updated to reflect the exact data flows of the public release.
[LEGAL ENTITY NAME] ("we," "us") built AcboBooks as a local-first desktop accounting application. This policy explains what happens to your data.
1. Your data stays on your device
AcboBooks stores your company books in files on devices you control (the .acbo file). We do not operate a server that receives, stores or has access to your accounting data. We cannot see your books, your customers, your payroll or your financial figures. You are responsible for securing and backing up these files.
2. No analytics or telemetry
AcboBooks does not send usage analytics, crash reports or your accounting data to us. If a future version adds an optional diagnostic feature, it will be off by default and this section will describe exactly what it sends.
3. Licensing and activation
Licence activation is performed on your device by verifying a signed licence key. No network contact is required to activate or to keep using the Software. If you use the optional "check for updates" feature, the Software requests a small version file from our website; that request carries no accounting data and no account identifier.
4. The website
acbobooks.com serves static pages. We do not use advertising trackers. Our hosting provider may keep standard server logs (IP address, pages requested, browser type) for security and capacity purposes. Emails you send us are kept to answer you and for our records.
Contact form. If you write to us through the contact form, we keep your name, email address, message and the country your connection came from, for up to a year, solely to answer you and keep a record of the conversation. The message is delivered to our mailbox and stored on our hosting provider's infrastructure. It is never used for marketing.
Optional email list. The download page offers, but never requires, a sign-up for the getting-started guide and release notes. If you tick the box we store your address, the date of consent and the page it came from, and use it only to send those emails. Every message carries an unsubscribe link; unsubscribing removes your address. We do not share, sell or rent the list, and we do not add anyone to it from purchases or support email without this consent.
Trial reminder inside the app. Near the end of the free trial the app offers, once, to send one reminder email before the trial ends. If you type an address and tick the box, the app sends only that address, the consent date and the trial end date to the same list service; nothing about your computer or your books is included. Choosing "No thanks" stores nothing and the app never asks again.
5. Optional features that send data to third parties
Some features you choose to enable send data directly from your device to a third party you have a relationship with. In each case the data goes to that third party, not to us.
- Bank Direct Connect (OFX): if you download transactions, AcboBooks sends your bank username and the password you enter at download time, plus account identifiers, directly to your bank's OFX server. The password is used for that request only and is not stored.
- QuickBooks® migration: AcboBooks reads your own QuickBooks company data on your device (through Intuit's on-device SDK, with your approval inside QuickBooks) or from a file you export. Nothing is sent to us.
Review the privacy policies and terms of any third-party service you enable.
6. Sensitive data you enter
AcboBooks may hold sensitive information you enter, such as employee Social Security Numbers (for W-2 preparation) and tax identification numbers. This data is stored in your company file on your device. Treat your .acbo files and backups as confidential, and use operating-system disk encryption.
7. Children
AcboBooks is a business tool not directed to children and does not knowingly collect data from children.
8. Your responsibilities
Because your data lives on your device, you control access to it. Use device security (disk encryption, OS accounts) and keep backups. We cannot recover a lost file password.
9. Changes
We may update this policy. Material changes will be reflected by the "Last updated" date on this page.
