Massage therapists and clinics

Accounting software for massage therapists: packages, therapist pay and GST/HST

Massage practices sell sessions one at a time, in prepaid packages and as memberships, and pay therapists as employees, contractors or room renters. AcboBooks handles each of those properly, so prepaid money is not counted as earned before the session.

For solo RMTs and LMTs, massage clinics and day spas in the US and Canada, $399.99 once.

No card, no account. Windows 10 and 11. United States and Canada.

What it means

In practice

Prepaid packages held until used

A ten-session package paid up front is a customer deposit until sessions are used. Apply it to the invoices as the client comes in. Memberships paid in advance can be recognised evenly over the months.

Therapists paid the way they work

Employees go on payroll with commission and tips as pay items. Contractors are paid as vendors and get a 1099-NEC or T4A. Room renters are customers with a rent invoice that repeats.

Retail on the side

Oils, lotions, hot packs and self-care products are inventory at average cost, sold on the same receipt as the session.

Commission and tips on the paycheque.

Your booking software takes the payment. AcboBooks keeps the books.

Enter the day's or week's totals from your booking system as a sales receipt, split into sessions, retail and tax, and deposit the card payout with the processor fee split out.

Direct billing to insurers is a receivable per insurer: invoice the insurer as the customer and record the payment when it arrives.

What it does not do

· Not a booking system: no appointments, intake forms, SOAP notes or insurance claim submission.

· No gift card tracking.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Do I charge GST/HST on massage in Canada?

Generally yes, once you are registered. Massage therapy is not on the GST/HST exempt list of health services, unlike physiotherapy. Your accountant can confirm your position.

Is massage taxable in the US?

Many states do not tax massage, but some tax personal care or spa services. Set each service item's tax to match your state.

How do I record a prepaid package?

Receive the payment as a customer deposit. As the client uses sessions, invoice them and apply the deposit, so income follows the sessions.

Are my therapists employees or contractors?

That depends on how they work, not on what you call them. The app supports both. Ask your accountant, or see the IRS and CRA guidance.
