Trucking companies and owner-operators

Trucking accounting software: revenue, fuel and costs by truck

Make each truck a class and see revenue, fuel, repairs and insurance for every unit. Invoice brokers and shippers per load, settle with owner-operators as vendors, and keep each truck and its loan on the books.

For small fleets and owner-operators in the US and Canada, $399.99 once.

No card, no account. Windows 10 and 11. United States and Canada.

What it means

In practice

Profit per truck

Every load invoice, fuel card charge and repair bill carries the truck's class. The P&L by class puts each truck side by side, so a unit that loses money stands out.

Owner-operator settlements

Enter each settlement as a bill to the owner-operator. Fuel advances and other charges you paid for them are vendor credits applied against it, and the slip at year-end is a 1099-NEC or T4A.

Trucks and their loans

Each truck is a fixed asset with depreciation, linked to its loan. Payments split into principal and interest from the amortisation schedule.

A profit and loss report

Revenue and costs per truck with classes.

Which truck paid for itself this quarter?

Loads are invoiced to the broker with the truck's class. Fuel cards are entered as credit card charges, or split from the imported statement, against the same class.

At quarter-end, the P&L by class shows revenue, fuel and maintenance per truck, and the A/R aging shows which brokers are slow to pay.

What it does not do

· No IFTA fuel tax reports, no ELD or hours-of-service logs, and no dispatch or load board.

· The mileage log records miles per vehicle but not by state or province.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Does it do IFTA reporting?

No. It does not track miles or fuel by jurisdiction. Keep using your IFTA service or ELD reports for the quarterly return.

How do I pay owner-operators?

Enter their settlement as a bill, apply any advances or fuel you paid for them as vendor credits, and pay the balance. They get a 1099-NEC (US) or T4A (Canada) at year-end.

Can I track costs per truck?

Yes. Make each truck a class and tag invoices, fuel and repairs with it. The P&L by class shows each truck's result.

I factor my invoices. How do I record that?

For a simple arrangement, receive the invoice payment into Undeposited Funds and deposit it with the factor's fee on the fee line, so the deposit equals what the factor paid. Reserves held back need a journal entry; set it up once with your accountant.
