Therapists and counsellors

Accounting software for therapists and counselling practices

Invoice sessions, take payment, offer reduced fees consistently, and if you run a group practice, work out each associate's share and see what each clinician brings in.

For private-pay psychotherapists, counsellors, psychologists and social workers in the US and Canada. Your client list stays on your PC in an encrypted file, for $399.99 once.

No card, no account. Windows 10 and 11. United States and Canada.

What it means

In practice

Session billing without clutter

Set up a service item for each session type and rate. Invoice after each session or once a month, and statements show what each client owes.

Reduced fees, applied the same way

Give a client a price level that takes a set percentage off your standard fee, so a sliding-scale client always gets the same rate without you recalculating it.

Group practice splits

Set each clinician up as a sales rep with their split percentage. Sales by Rep shows what each billed and their share, to pay through payroll or as a contractor.

An invoice in AcboBooks

A month of sessions on one invoice.

Less time on the books, more for clients

Most months come down to three jobs: invoice the sessions, record the payments, reconcile the bank. Each takes minutes.

At tax time, the P&L and expense detail are ready for your accountant, with 1099-NEC or T4A slips for any contracted associates.

What it does not do

· No insurance claims, superbills or session scheduling.

· Not a clinical records system; keep session notes in your practice-management tool.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Can I offer sliding-scale fees?

Yes. Give the client a price level, a percentage off your standard rate, and their invoices use it automatically. You can also change the rate on any invoice line.

Can it produce superbills?

No. Invoices and statements show dates, services and payments, but there are no diagnosis or procedure codes for insurance reimbursement.

How private is it?

The file is encrypted with your password and stays on your own computer. Nothing is sent to us. Keep clinical notes in your clinical system, not in invoice memos.

How do I pay associates a percentage?

Set each one up as a sales rep with their percentage and choose them on their invoices. Sales by Rep works out the share; pay it as commission on payroll or as a bill if they are contractors.
