Photographers and videographers

Accounting software for photographers and videographers: deposits, shoots and gear

Take a booking deposit to hold the date, invoice the balance after the shoot, and see what each job made after second shooters, editors and travel. Cameras, lenses and drones are tracked as fixed assets.

For wedding, portrait, commercial and event photographers and video producers in the US and Canada, $399.99 once.

No card, no account. Windows 10 and 11. United States and Canada.

What it means

In practice

Deposits that hold the date

A booking deposit is a customer deposit: a liability, not income, until the shoot. Apply it to the final invoice and only the balance is left to collect.

Profit per shoot

Each wedding or production is a job. Second shooters, assistants, rentals and travel go on it, and Job Profitability shows what was left.

Gear on the books

Record each body, lens and drone as a fixed asset with straight-line depreciation, so you always know what the kit is worth on paper.

A busy June should not mean a confused April

Every booking starts with a deposit and ends with an invoice, so the season's bookings sit in one list with what is still owed on each.

Prints and albums can be items with their own sales tax or GST/HST code, separate from the session fee, so each line charges what it should.

What it does not do

· No booking calendar, contracts, galleries or client proofing.

· Depreciation is straight-line for your books; your accountant works out the tax depreciation.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Is a booking deposit income?

Not until you do the work. It sits in Customer Deposits until applied to the invoice, so a deposit in November for next summer's wedding doesn't land in this year's income.

How do I pay a second shooter?

As a vendor. Enter their bill on the job. If what you paid them reaches the reporting threshold, their 1099-NEC or T4A is ready at year-end.

Can I see which kind of work pays best?

Tag invoices and costs with a class for weddings, portraits, commercial or video, and run the P&L by class.
