What it means

In practice

Maintenance on repeat

Memorise a monthly invoice for each maintenance contract. If you bill per visit, Batch Invoices bills the same visit lines to every customer you tick.

Installs as projects

A patio or planting plan is a job under the customer: an estimate, a deposit, the nursery and stone yard bills tagged to it, and Job Profitability when it is done.

Materials with a margin

Mulch, stone and plants you resell are items with a cost and a price, so sales by item shows what materials earn on top of the labour.

Visits, materials and labour on one invoice.

Hundreds of small invoices, none forgotten

Lawn care means many customers at small amounts. Memorised and batch invoices handle the volume; statements and the ageing report catch the customers who forget to pay.

Classes for maintenance, installs and any winter work show how the year splits, and the monthly P&L shows the season's shape.

Questions people ask

Before you download

Can it bill my maintenance customers automatically?

Schedules run weekly or monthly. A flat monthly amount works well as a memorised invoice. If you bill per visit, Batch Invoices bills the same lines to every selected customer at once.

How do I handle sales tax on landscaping?

Rules differ by state and province, and some treat maintenance, installs and materials differently. Each item has its own tax setting, so set them up the way your accountant advises.

Can I see the profit on a hardscape job?

Yes. Make the job a customer:job and tag its bills and card charges to it. Job Profitability shows income, cost and net.

What happens over the winter?

Payroll keeps the year's totals for W-2s or T4s. In Canada, the Record of Employment worksheet lists insurable earnings when you lay staff off for the season.
