What it means

In practice

Agreements that bill themselves

Memorise each maintenance agreement invoice and schedule it monthly. It is entered automatically the next time the company file opens on or after the due date, so no plan goes unbilled.

Equipment, parts and labour together

Units and parts are inventory items at average cost; labour is a service item. Each item has its own tax setting, so labour can be left untaxed where your state exempts it. In Canada, GST/HST applies line by line as usual.

Installs costed like projects

Each install is a job under the customer. The equipment bill, the ductwork and the subcontracted electrician all carry the job, and Job Profitability shows what was left.

Service calls in winter, installs in summer, one set of books

Classes split service, maintenance plans and new installs, so the P&L by class shows which side of the business carries the year.

The busy season brings overtime. Hourly payroll pays time and a half, and workers' compensation accrues at each employee's own rate.

What it does not do

· No dispatch board, technician scheduling or service-call booking.

· One stock quantity per item: no separate counts for each van or warehouse.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Can it bill maintenance agreements automatically?

Yes, monthly or weekly. Memorise the agreement invoice for each customer and schedule it; it can be entered automatically when due. For a twice-yearly tune-up plan, bill a monthly amount or enter the invoice from the memorised list when the visit is due.

Can I track the parts on my vans?

Parts are inventory items with one quantity for the whole company. Include van stock in that total and correct it with Adjust Inventory after a count.

Can parts and labour be taxed differently?

Yes. Each item has its own taxable setting or tax code, so parts and labour follow the rules in your state or province. Confirm those rules with your accountant.

Can customers pay by card?

Add a Stripe payment link to an invoice and email it. You connect your own Stripe account in Company Settings.
