Fitness studios and gyms

Accounting software for gyms and fitness studios: memberships and instructors

Your membership software bills members. AcboBooks takes the totals, spreads annual memberships over the months they cover, holds prepaid personal-training packages as a liability, and pays instructors as staff or contractors.

For independent gyms, yoga and Pilates studios, martial arts schools and personal trainers in the US and Canada, $399.99 once.

No card, no account. Windows 10 and 11. United States and Canada.

What it means

In practice

Annual memberships earned monthly

When a member pays for a year, defer it and AcboBooks moves a twelfth into income each month. The P&L shows what you earned, not just what came in.

Training packages as a liability

A prepaid package of personal-training sessions is a customer deposit. Apply it as sessions are used, and the balance shows what you still owe.

Instructors paid properly

Employee instructors go through payroll, hourly or salaried. Contract instructors are vendors whose payments add up to a 1099-NEC or T4A at year-end.

A profit and loss report

Classes, training and retail compared.

Find out which part of the studio pays the rent

Each month, enter your membership platform's totals as a sales receipt and match the processor's payout, with its fees, to the bank.

Run classes, personal training and retail as separate classes, and the P&L by class shows which carries the business.

What it does not do

· Not a membership system: no check-in, class schedule or automatic card billing of members.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Can it charge members' cards every month?

No. Keep your membership platform for billing members and enter its totals. Corporate clients can be invoiced from AcboBooks with a Stripe payment link.

How should prepaid annual memberships be recorded?

As deferred revenue: set up a schedule in Revenue Recognition and an even share moves into income each month.

How do I pay instructors by the class?

Pay employees through payroll for their hours. Pay contract instructors by entering a bill for the classes they taught.
