What it means

In practice

Contract and one-off billing

Regular customers get a repeating monthly invoice; walk-ins pay on a sales receipt. Fuel surcharges and waiting time are their own charge items, so they show separately.

Drivers paid the right way

Employees go through payroll, with mileage owed to them added to the paycheck as a reimbursement. Contract drivers are vendors who get a 1099-NEC or T4A.

Trips that bill themselves

Log each trip with the vehicle, miles and customer. Billable trips are added to the customer's next invoice; reimbursable ones go on the driver's paycheck.

An invoice in AcboBooks

Monthly invoices for contract customers.

Every route, every van, every driver accounted for

Make each van or route a class. Fuel, repairs and driver pay carry the class, and the P&L by class shows which routes pay.

At month-end, contract customers' invoices are already created, and statements go out to anyone with an open balance.

Questions people ask

Before you download

Can I bill customers for mileage?

Yes. Mark a logged trip billable to a customer and add it to their next invoice at your rate.

How do I pay contract drivers?

Set them up as vendors tracked for 1099-NEC (US) or T4A (Canada), enter their pay as bills or cheques, and print the slips at year-end.

Can I see costs per van?

Yes. Make each van a class and tag fuel, repairs and insurance with it; the P&L by class shows each one.
