A church treasurer and a volunteer counting the Sunday offering

What it means

In practice

Offerings in, counted once

The counting team's total goes in as a deposit, split between general offerings and any designated gifts. Gifts recorded as a sales receipt under the giver's name total by person on the Sales by Customer report.

Designated funds kept apart

Each fund is a class, marked donor-restricted where the giver set the purpose. The Statement of Activities shows each fund, with restricted and unrestricted net assets apart.

A budget the board can read

Enter the year's budget by account and fund, and compare actuals each month. Reports export to Excel with live formulas for the annual meeting.

A report in AcboBooks

Income and spending by fund.

Every gift spent the way the giver intended

A family gives to the building fund. The gift carries the fund's class, and so does every invoice from the roofer. The fund's balance is always clear.

The treasurer's report is the Statement of Activities and the budget report, run in a minute instead of rebuilt in a spreadsheet.

What it does not do

· Payroll does not handle clergy dual-status tax or housing allowance (US), or the clergy residence deduction (Canada); your accountant should set up clergy pay.

· No contribution statements or official donation receipts, and no membership directory.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Can it track designated funds like a building fund?

Yes. Make the fund a class, mark it donor-restricted if givers set the purpose, and tag gifts and spending with it. The Statement of Activities shows each fund.

Does it produce giving statements or tax receipts?

No. If you record each gift as a sales receipt under the giver's name, the Sales by Customer report gives each person's total for the year, which you can use to prepare statements or receipts elsewhere.

Can payroll handle a pastor's housing allowance?

Not automatically. Clergy pay has special tax rules in both countries; have your accountant set it up and confirm the figures.

Can the treasurer and a volunteer both use it?

Yes, on the church office network with their own users and roles. Two computers are included.
