Architects and engineers

Accounting software for architects and engineers: phased fees and reimbursables

Bill your fee by phase from the proposal: schematic design, design development, construction documents, construction administration. Reimbursable expenses go on the invoice, sub-consultants are paid as vendors, and every project shows its fees against its costs.

For small architecture, engineering, landscape architecture and interior design firms in the US and Canada, $399.99 once.

No card, no account. Windows 10 and 11. United States and Canada.

What it means

In practice

Fees billed by phase

Enter the fee proposal as an estimate with a line per phase. Each month, invoice the percentage complete on each line, and AcboBooks tracks what is left to bill.

Reimbursables passed through

Printing, travel, permit fees and couriers marked billable on the bill attach to the project and come onto the next invoice.

Sub-consultants as vendors

Structural, MEP and other consultants are vendors on the project. Their bills carry the job, and 1099-NEC or T4A slips come out at year-end.

See which projects ran over before you write the next proposal

Job Profitability shows each project's fees billed against consultants and reimbursables. The time report by project shows the hours your team put in.

When you price the next similar project, last year's figures are one report away.

What it does not do

· Hours are tracked but not costed into Job Profitability; no utilisation, multiplier or earned-value reports.

· No AIA billing forms.

· Windows 10 and 11 for now (a Mac version is coming soon); no phone app.

· It imports your bank's statement file rather than connecting live to the bank.

Questions people ask

Before you download

Can I bill a percentage of each phase?

Yes. Create the estimate with a line per phase, then invoice a percentage or an amount of each line. The remaining balance per line is tracked.

How are reimbursable expenses handled?

Mark the line billable on the bill, check or card charge and attach the project. It comes onto the invoice at cost; add a markup as its own line if your contract allows one.

Can I track hours on a fixed-fee project?

Yes. Log them against the project as non-billable, and the time report shows how many hours the fee actually covered.
