Why a pressure washing invoice needs its own layout

Pressure washing customers buy results by the surface: the siding, the driveway, the deck. Pricing each surface separately, by area, lets the customer see why a big driveway costs more and makes it easy to add a surface next time.

This template has lines for each surface with its area, sealing and add-ons, and a minimum charge. The example is a spring package for a US homeowner, set in a state that doesn't tax the service.

What to include on a pressure washing invoice, and why

  • Area for each surface. Square feet times a rate is easy to check and easy to re-quote next year.
  • The method (soft wash or pressure). Customers worry about damage. Saying you soft-washed the siding shows you used the right method.
  • Aftercare. Sealer drying times and what to avoid prevent call-backs.
  • Water use. If you used the customer's water, say so; some customers ask.

How to price it

Per square foot

The standard for flatwork and siding. Set a rate per surface type.

Packages

House, driveway and walkways together at a set price. Show the surfaces included.

Minimum charge

Small jobs still need the rig set up. A minimum covers it.

Typical payment terms

  • Due on completion or within 7 days
  • Commercial accounts on Net 30
  • Card on site for one-off customers
  • Deposit for sealing and staining materials

Whatever terms you use, put them on the invoice itself. A due date printed on the page is easier to enforce than one mentioned on the phone. See how to collect overdue invoices for what to do when a customer is late.

Sales tax, GST/HST and PST on pressure washing work

United States

Some states tax cleaning or building maintenance services, which can include pressure washing; many don't. Sealers and stains you sell may be taxable as goods.

Check your state's rules for both residential and commercial work.

Canada

Pressure washing is a taxable service for GST/HST once you're registered.

Many seasonal operators start under the $30,000 small supplier limit. Once you pass it, you must register.

Check a rate with the US sales tax calculator or the GST/HST calculator, then set it beside the tax lines in the template. Both tax lines can be renamed, so one invoice works for sales tax, HST, or GST plus PST or QST.

The example, filled in

The Invoice sheet opens filled in with the example in the preview: a US pressure washing business billing a spring package, invoice PW-0612 for an example customer. The lines come to a subtotal of $1,112.00 and a total of $1,112.00. Payment terms are 7 days. The figures are made up to show the layout; they are not market rates.

This example assumes a state that doesn't tax pressure washing. Some states tax cleaning services; sealer and other goods may be taxable.

The notes box reads: “Due within 7 days. Keep foot traffic off the sealed deck for 24 hours. We used the outside tap at the front of the house.”

Questions

How do I price pressure washing?

By square foot per surface type, with a minimum charge. Measure once and keep the areas for repeat customers.

Should I list each surface separately?

Yes. It explains the total, and next year you can re-quote from the same lines.

How do I handle sealing?

As its own line, by area, with materials included. Take a deposit if you buy sealer for the job.

What if weather stops the job?

Invoice what was done, and add the rest when you finish. Or hold the invoice until the job is complete.
