What it is

A sales receipt records a sale that's paid in full at the time: at a counter, a market stall or at the end of a service call. It's the customer's proof of payment and your record of the sale.

This template totals the items, takes off a discount, adds tax, and works out change for cash sales. The log adds up sales, tax collected, cash and cards.

Who it's for

  • Market stalls, pop-ups and small shops without a point-of-sale system
  • Service businesses paid on completion
  • Anyone who needs to give a proper receipt now and then

Questions

What's the difference between a receipt and an invoice?

A receipt is for a sale that's already paid. An invoice asks for payment later. If the customer is paying on the spot, give a receipt; if they'll pay in 30 days, send an invoice.

What must a receipt show?

At least your business name, the date, what was sold, the amount and any tax. In Canada, receipts for larger sales should also show your GST/HST registration number so a business customer can claim input tax credits.

How do I record these sales in my books?

Total the day's receipts by payment method. Cash and cheques go to the bank in a deposit; card sales arrive later from the card processor, less fees. The Receipt log's totals give you the numbers to match.
