Why a cleaning invoice needs its own layout
Cleaning businesses bill two ways: recurring visits at a set price, and one-off jobs like a deep clean or a move-out. The invoice should make clear which is which, and what the regular visit includes, so an extra like the inside of the fridge doesn't become a free add-on.
This template has lines for regular visits by date, deep cleans and add-ons, and supplies if you charge for them. The example is a month of fortnightly cleans plus an oven clean for a client in Quebec, where GST and QST both apply.
What to include on a cleaning invoice, and why
- Visit dates. One line per visit lets the client check the invoice against their calendar.
- The home size or scope. "3 bed / 2 bath" tells the client what the regular price covers, so a bigger job later is clearly an extra.
- Add-ons on their own lines. Ovens, fridges and windows priced separately stop scope creep.
- Your cancellation policy. A short reminder on the invoice makes the late-cancellation fee easier to charge when you need to.
- Upcoming visits. Confirms the schedule without a separate message.
How to price it
Flat per visit
The most common way to price homes: a set amount by size and how often you clean. Customers like the predictability.
Hourly
For deep cleans, move-outs or homes you haven't seen. Give an estimate of the hours up front.
Commercial by area
Offices are often priced per square foot per month, billed monthly in advance or arrears.
Typical payment terms
- Monthly or after each visit for homes, due in 7 to 10 days
- Card on file for recurring clients
- Commercial contracts billed monthly, Net 30
- Late cancellation fee within 24 or 48 hours, if agreed up front
Whatever terms you use, put them on the invoice itself. A due date printed on the page is easier to enforce than one mentioned on the phone. See how to collect overdue invoices for what to do when a customer is late.
Sales tax, GST/HST and PST on cleaning work
United States
A number of states tax cleaning or janitorial services, and some tax them only for commercial buildings. Many states don't tax residential cleaning at all.
Check your state's rules for both residential and commercial cleaning before marking lines taxable.
Canada
Cleaning services are taxable for GST/HST once you're registered. In Quebec, QST also applies; register with Revenu Québec for both.
Many cleaners start as small suppliers under the $30,000 limit and register as they grow.
Check a rate with the US sales tax calculator or the GST/HST calculator, then set it beside the tax lines in the template. Both tax lines can be renamed, so one invoice works for sales tax, HST, or GST plus PST or QST.
The example, filled in
The Invoice sheet opens filled in with the example in the preview: a Quebec cleaning business billing a month of fortnightly cleans, invoice C-1066 for an example customer. The lines come to a subtotal of $385.00 and a total of $442.65. Payment terms are 10 days. The figures are made up to show the layout; they are not market rates.
In Quebec, a business registered for both charges 5% GST and 9.975% QST, each worked out on the price before tax.
The notes box reads: “October service. Due in 10 days by e-transfer. Next visits Nov 3 and Nov 17. Please let us know 48 hours ahead if you need to reschedule.”
Lines on the price list sheet
The Price list sheet starts with the lines cleaning businesses usually charge for. Add your rates once and copy them onto each invoice.
| Line | Unit | Note |
|---|---|---|
| Regular clean | per visit | By home size and frequency. |
| Deep clean | flat or hourly | First visit or seasonal. |
| Move-in or move-out clean | flat | Empty home, inside cabinets. |
| Office cleaning | per visit or per month | By square footage and frequency. |
| Add-on: inside oven or fridge | each | Not part of the regular clean. |
| Add-on: windows | per window or per floor | Interior or exterior. |
| Add-on: laundry or linens | per load | Wash, dry, fold. |
| Supplies | flat per visit | Only if you charge for them. |
| Late cancellation fee | per visit | If your terms set one. |
What's in the file
| Sheet | What it holds |
|---|---|
| Invoice | The printable cleaning invoice, filled in with the example on this page: your details, bill-to, property cleaned, 15 lines, two tax lines, deposit received and balance due. Fits one letter page. |
| Price list | The lines cleaning businesses usually charge for, with the unit for each. Enter your own rates once and copy them onto each invoice. |
| Invoice log | One row per invoice: payments as they arrive, balance, status (Open, Overdue, Paid) and days overdue. |
| Instructions | How to fill it in, plus the notes on this page about what to include. |
Pale yellow cells are for your entries; white cells calculate. Nothing is locked, so you can rename lines or change the layout. The Instructions sheet repeats the steps and the notes on this page.

Questions
Should I invoice after each clean or monthly?
Monthly works well for regular clients and cuts down on paperwork. One-off cleans should be invoiced on the day, or paid on the spot with a receipt.
How do I charge for supplies?
Most cleaners build supplies into the price. If you charge separately, use a flat per-visit line so it doesn't look like you're billing every bottle.
Can I charge a late cancellation fee?
Yes, if you told the client in advance. Put it on the next invoice as its own line with the date.
How do I quote a deep clean?
See it first if you can, then quote a flat price or an hourly estimate. The general estimate template works well for that.
