Why an electrical invoice needs its own layout

Electrical work comes with paperwork that other trades don't have: permits, inspections, sometimes the utility. The invoice should show those steps, because they are part of what the customer paid for and the reason the job took more than one visit.

This template splits the job into labour, materials and the permit and inspection, and has a field for the permit number. The example is a 100 A to 200 A panel upgrade in Saskatchewan, where PST applies to the whole charge.

What to include on an electrical invoice, and why

  • The permit number. It ties the invoice to the inspected work. Insurers and buyers of the house may ask for it years later.
  • Licensed and apprentice hours separately. Two rates on two lines is honest and easy to check, and it's how most electricians price a crew.
  • Major materials by name and rating. A 200 A panel and its breakers are worth naming; a bag of wire nuts isn't.
  • Any time the power was off. A short note on when the power was off and restored answers questions before they're asked.
  • Your licence or contractor number. Many provinces and states expect electrical contractors to show it on contracts and invoices.

How to price it

Hourly for service and troubleshooting

Fault-finding can take ten minutes or three hours, so bill it by the hour with a minimum. Explain that on the invoice, with the hours.

Per device for new work

Pot lights, outlets and switches are often priced per device. One line per device type with a quantity keeps the invoice short.

Flat price for defined jobs

A panel upgrade or an EV charger install is usually quoted as a flat price from an estimate. Invoice the agreed price and list what was included.

Typical payment terms

  • Deposit on large materials (panels, fixtures) before ordering
  • Balance on completion or within 30 days of passing inspection
  • Net 30 for builders and general contractors, with progress billing on new construction
  • Change orders priced in writing before the extra work is done

Whatever terms you use, put them on the invoice itself. A due date printed on the page is easier to enforce than one mentioned on the phone. See how to collect overdue invoices for what to do when a customer is late.

Sales tax, GST/HST and PST on electrical work

United States

Electrical work on a building is treated as an improvement to real property in many states, where the electrician pays tax on materials when buying them. Other states tax the materials, or the whole job, on the invoice.

Service and repair labour is taxable in some states and not in others. Check your state's rules and mark each line Y or N.

Canada

GST/HST applies to labour and materials alike once you're registered. Show your registration number on the invoice.

In Saskatchewan, PST applies to repairs and renovations of buildings, on the total including labour. In British Columbia, PST generally doesn't apply to work on a building; you pay PST on the materials.

Check a rate with the US sales tax calculator or the GST/HST calculator, then set it beside the tax lines in the template. Both tax lines can be renamed, so one invoice works for sales tax, HST, or GST plus PST or QST.

The example, filled in

The Invoice sheet opens filled in with the example in the preview: a Saskatchewan electrician upgrading a panel, invoice E-1187 for an example customer. The lines come to a subtotal of $2,915.00 and a total of $3,235.65, with a deposit already received of $800.00 and a balance due of $2,435.65. Payment terms are 30 days. The figures are made up to show the layout; they are not market rates.

In Saskatchewan, a registered electrician charges 5% GST, and PST at 6% applies to repairs and renovations of buildings on the total charge, labour included.

The notes box reads: “Balance due within 30 days. Power was off from 9:00 to 3:30 on the day of the swap. Permit and inspection passed; copy attached.”

Questions

Do I charge for the permit on the invoice?

Yes, as a pass-through line at cost or with a small handling fee, whichever you told the customer. Show the permit number so they can check it.

Should I bill apprentice time?

Yes. Put apprentice hours on their own line at their own rate. Customers accept it more easily when they can see the lower rate.

How do I invoice a job that failed inspection?

Invoice the agreed work as normal. If the correction was your mistake, the re-inspection and fix are on you; if it was a change the customer asked for, add it as a priced change order.

What payment terms do electricians use?

Homeowners usually pay on completion. Builders and general contractors often pay Net 30, sometimes with a holdback until the whole project is done.
