How to write an invoice
- Put your business details at the top: your business name, address and how to reach you. If you are registered for sales tax, GST/HST or QST, add the registration number.
- Say who it is for: the customer's name (or business name) and billing address.
- Give it a number and a date. Invoice numbers should be unique and run in order, so you and your customer can refer to it and spot a missing one.
- List what you sold: one line per product or service, with a quantity, a rate and the amount. Be specific: "Kitchen tap replacement, 2.5 hours" gets paid faster than "Labour".
- Show the totals: subtotal, any discount, each tax with its rate, and the total due, in the right currency.
- Set the terms and due date: Net 30, due on receipt, or whatever you agreed. A due date printed on the invoice is easier to chase than one in an email.
- Tell them how to pay: bank transfer details, a cheque address, a card payment link. Add any late-payment terms you agreed in advance.
What an invoice must include
In the United States
No federal law sets out what an invoice must say. What matters is that it is clear enough to get paid and good enough as a record: the IRS expects you to keep documents that support your income and expenses, and an invoice is one of them. States that charge sales tax may require the tax to be shown separately. Keep a copy of every invoice you send.
In Canada (GST/HST)
If you are a GST/HST registrant, your customers need certain details on the invoice to claim input tax credits. The CRA's chart sets them out by the total amount of the sale:
| Sale total | What the invoice must show |
|---|---|
| Under $100 | Your business or trading name, the invoice date, the total amount |
| $100 to $499.99 | All of the above, plus your GST/HST registration number and the GST/HST charged (or a note that the price includes it, with the rate). If some items are taxable and some are not, which is which. |
| $500 or more | All of the above, plus the customer's name or trading name, a brief description of what was sold, and the terms of payment |
Source: CRA, Input tax credits: information requirements, checked October 25, 2026. A GST/HST registration number has nine digits followed by RT and four more digits, such as 123456789 RT0001. For rates by province, use the GST/HST calculator.
Payment terms explained
| Term | What it means |
|---|---|
| Due on receipt | Pay as soon as the invoice arrives. Common for small jobs and new customers. |
| Net 7, Net 15 | Pay the full amount within 7 or 15 days of the invoice date. |
| Net 30 | Pay within 30 days. The usual term between businesses. |
| Net 45, Net 60 | Longer terms, often asked for by larger customers. You wait longer for your money. |
| 2/10 Net 30 | Take 2% off if you pay within 10 days; otherwise the full amount is due in 30. |
| EOM | End of month: due at the end of the month the invoice is dated (or the month after, if agreed). |
Shorter terms get you paid sooner, but only if the customer agreed to them. Put the terms in your quote or contract, then repeat them on every invoice. For what to do when an invoice goes past due, read how to collect overdue invoices.
Tips for getting paid faster
- Send the invoice the day the work is done, not at the end of the month.
- Address it to the person who pays, and put your invoice number in the email subject line.
- Make paying easy: give the full bank details or payment link on the invoice itself.
- Ask for a deposit on large jobs. Our guide to customer deposits and retainers shows how to record them.
- Follow up a few days before the due date, on the due date, and a week after.
When a free invoice maker stops being enough
A PDF invoice is fine for a handful of customers. Once you have more, the hard part is not making invoices but knowing who still owes you. In AcboBooks, each invoice posts to your books and to the customer's balance. The Home screen lists invoices coming due and overdue; the A/R aging report and the Collections report show who to chase, with their phone and email; you can print customer statements, assess finance charges on overdue invoices, and send a payment request from your own email program. Invoices print with your logo, and payments, deposits and partial payments are matched to them. It runs on your Windows PC, bought once for $399.99. See invoicing in AcboBooks.
Questions
Is this invoice generator really free?
Yes. There is no sign-up, no watermark across the page and no limit on invoices. A small "Made with AcboBooks" line prints at the bottom. Everything runs in your browser; what you type is kept only in this browser so it is there next time.
How do I save the invoice as a PDF?
Click "Download PDF". Your browser's print window opens; pick "Save as PDF" (Chrome, Edge) or "Microsoft Print to PDF" (Windows) as the printer and save. Only the invoice prints, not the rest of this page.
What does Net 30 mean on an invoice?
The customer has 30 days from the invoice date to pay the full amount. Net 15 and Net 60 work the same way with 15 or 60 days. "Due on receipt" means payment is expected as soon as the invoice arrives.
Do I have to show my GST/HST number on an invoice?
If you are registered for GST/HST and the sale is $100 or more, yes: your registration number is one of the details a customer needs to claim input tax credits. For sales of $500 or more the invoice also needs the customer's name, a brief description and the terms of payment.
Should I charge sales tax on my invoice?
That depends on where you and your customer are and what you sell. In the US, each state sets its own rules; in Canada, GST/HST applies once you are registered, and some provinces add PST or QST. Use our sales tax and GST/HST calculators to check the rate, then enter it here.
Can I put my logo on the invoice?
Not in this free tool; it keeps to a clean text layout so it prints well everywhere. AcboBooks prints invoices with your logo, accent colour and footer.
What invoice number should I start with?
Any number works, as long as each invoice has its own and they run in order. Many businesses start at 1001 so the first invoice doesn't look like their first. "Next invoice" adds one to the number for you.
