Why a lawn care invoice needs its own layout
Lawn care is a volume business: dozens of customers, the same visit every week or two, small amounts each time. Sending an invoice after every mow means a lot of paperwork and a lot of small payments to chase. Most operators bill once a month, with each visit listed.
This template is set up for that. Each visit is a line with its date, treatments and extras have their own lines, and the invoice log keeps track of a whole route of customers. The example is a September invoice for a homeowner in New Brunswick.
What to include on a lawn care invoice, and why
- Visit dates. With a line per visit, the customer can match the invoice to the days you came. It also proves a visit happened if they question it.
- The billing period. "September service" at the top tells the customer at a glance what the invoice covers.
- Treatments by name. Some customers (and some towns) want to know what was applied and when.
- What's coming next. A line in the notes about the next service books extra work without a separate call.
How to price it
Per visit
Simple to explain, and the bill follows the weather: fewer cuts in a dry month means a smaller invoice.
Flat monthly over the season
Spreads the season into equal payments, which customers like and which smooths your cash flow. State how many visits the price assumes.
Extras by the hour or flat
Hedges, cleanups and treatments are priced on their own, outside the mowing rate.
Typical payment terms
- Monthly billing for regulars, due in 15 days
- Card on file or pre-authorised payments for route customers
- Pay-per-visit customers due on receipt
- Seasonal contracts billed monthly from April to October
Whatever terms you use, put them on the invoice itself. A due date printed on the page is easier to enforce than one mentioned on the phone. See how to collect overdue invoices for what to do when a customer is late.
Sales tax, GST/HST and PST on lawn care work
United States
Lawn care is taxed in some states and not in others, and some states tax only certain parts of it, such as treatments. A handful tax most services.
If you sell fertiliser or seed separately, that's a sale of goods and usually taxable where sales tax applies. Check your state's rules.
Canada
Registered lawn care businesses charge GST/HST on every visit. Many small operators start as small suppliers (under $30,000 of taxable sales over four calendar quarters) and register once they pass the limit.
If you're near the limit, watch it: once you pass $30,000 you must register and start charging GST/HST.
Check a rate with the US sales tax calculator or the GST/HST calculator, then set it beside the tax lines in the template. Both tax lines can be renamed, so one invoice works for sales tax, HST, or GST plus PST or QST.
The example, filled in
The Invoice sheet opens filled in with the example in the preview: a New Brunswick lawn care business billing a month of visits, invoice LC-0931 for an example customer. The lines come to a subtotal of $337.50 and a total of $388.13. Payment terms are 15 days. The figures are made up to show the layout; they are not market rates.
In New Brunswick, a registered lawn care business charges 15% HST on every visit and extra.
The notes box reads: “September service. Payment due in 15 days. Fall cleanup booked for the week of Oct 27; aeration available on request.”
Lines on the price list sheet
The Price list sheet starts with the lines lawn care businesses usually charge for. Add your rates once and copy them onto each invoice.
| Line | Unit | Note |
|---|---|---|
| Mowing visit | per visit | By lot size; trim and blow included. |
| Seasonal contract | per month | Same amount each month over the season. |
| Fertiliser or weed treatment | per application | By lot size. |
| Aeration | flat | Core aeration, by lot size. |
| Overseeding | flat or per sq ft | Often with aeration. |
| Spring or fall cleanup | flat or hourly | Leaves, debris, beds. |
| Hedge and shrub trimming | per hour | Extra to the mowing visit. |
| Skipped visit fee | per visit | If your terms charge for locked gates or no access. |

| Price list | The lines lawn care businesses usually charge for, with the unit for each. Enter your own rates once and copy them onto each invoice. |
| Invoice log | One row per invoice: payments as they arrive, balance, status (Open, Overdue, Paid) and days overdue. |
| Instructions | How to fill it in, plus the notes on this page about what to include. |
Pale yellow cells are for your entries; white cells calculate. Nothing is locked, so you can rename lines or change the layout. The Instructions sheet repeats the steps and the notes on this page.

Questions
Should I invoice after every mow or once a month?
Once a month suits most regular customers: fewer invoices, fewer small payments to chase. Pay-per-visit works for occasional customers.
What if it rained and I skipped a week?
With per-visit billing, the line just isn't there. With a flat monthly contract, say in your terms how many visits the price covers and how skipped weeks are handled.
How do I handle customers who don't pay?
The invoice log shows who is overdue. Stop service after a set number of days unpaid, and say so in your terms at the start of the season.
Do I need a separate invoice for a cleanup?
No. Add it as its own line on the monthly invoice.
