Why a snow removal invoice needs its own layout
Snow removal is billed by the event, and customers remember storms differently than you do. An invoice that lists each visit with its date, the snowfall and the service makes the bill easy to accept, and it's your record if a slip-and-fall claim comes up later.
This template has a line for each push, salting and walkway clearing, or a seasonal instalment. The example is January for a small commercial lot in Newfoundland and Labrador.
What to include on a snow removal invoice, and why
- Date and snowfall for each visit. Customers can check it against the weather, and it's evidence of service if there's a claim.
- The trigger depth. Per-push contracts start at a set depth. Saying it on the invoice explains why a light dusting isn't on the bill (or is).
- Salt applications. Salting is separate work with its own cost. Count the applications.
- Where visit times are kept. If you keep a log of arrival and departure times, say so. Commercial clients and insurers ask.
How to price it
Per push or per visit
You earn more in a snowy winter, and the customer pays for what they got.
Seasonal contract
A fixed price for the season, paid in instalments. The customer knows the cost; you carry the weather risk. Many contracts cap the number of visits or add a charge for extreme storms.
Salting and extras
Priced per application or per visit, on top of plowing.
Typical payment terms
- Per-push customers billed monthly, due in 15 to 30 days
- Seasonal contracts in monthly instalments from November to March
- Deposit or first instalment before the first snowfall
- Commercial clients on Net 30
Whatever terms you use, put them on the invoice itself. A due date printed on the page is easier to enforce than one mentioned on the phone. See how to collect overdue invoices for what to do when a customer is late.
Sales tax, GST/HST and PST on snow removal work
United States
Snow plowing is taxed in some states and not in others, sometimes depending on whether the property is residential or commercial. Salt or ice melt you sell may be taxable as goods.
Check your state's rules for snow removal and building maintenance services.
Canada
Snow removal is a taxable service for GST/HST once you're registered.
Seasonal contracts billed in instalments are taxed on each instalment when it's billed or paid.
Check a rate with the US sales tax calculator or the GST/HST calculator, then set it beside the tax lines in the template. Both tax lines can be renamed, so one invoice works for sales tax, HST, or GST plus PST or QST.
The example, filled in
The Invoice sheet opens filled in with the example in the preview: a Newfoundland and Labrador contractor billing a commercial lot for January, invoice SR-0131 for an example customer. The lines come to a subtotal of $1,360.00 and a total of $1,564.00. Payment terms are 30 days. The figures are made up to show the layout; they are not market rates.
In Newfoundland and Labrador, a registered snow removal business charges 15% HST on plowing, salting and shovelling.
The notes box reads: “January service. Visit times are in our log and available on request. Payment due in 30 days.”

Questions
Should I bill per push or a seasonal contract?
Both are common. Per push suits customers who want to pay for what they use; seasonal suits those who want a fixed cost. Many businesses offer both.
How do I bill a seasonal contract?
Split the season's price into monthly instalments and bill one each month, with the contract and the month on the invoice.
Do I need to record visit times?
It's strongly advised for commercial sites. Times and conditions help defend slip-and-fall claims. Keep them in a log and refer to it on the invoice.
How do I charge for a huge storm?
Per push, bill each push. On a seasonal contract, use the storm clause in your contract, if you have one, as its own line.
