Why a pest control invoice needs its own layout

Pest control invoices do double duty. They bill the visit, and they record what you applied, where and why, which customers, landlords and sometimes regulators want to see. Many jobs also start a recurring plan, so the first invoice sets the pattern.

This template has lines for the initial treatment, plan visits, inspections and products, and an area for the pest and the areas treated. The example is a first visit that starts a quarterly plan for a US homeowner, set in a state that taxes the service.

What to include on a pest control invoice, and why

  • The target pest and areas treated. The customer knows what was done, and the next technician does too.
  • Products applied. Customers with children or pets ask. Some states and provinces require a record of what was applied.
  • Plan terms. If re-treatments between visits are free, say so on the invoice. It's a reason to stay on the plan.
  • The next visit date. Books the next service and reminds the customer they're on a plan.

How to price it

Initial treatment plus plan

A higher first visit to knock the problem down, then a lower recurring fee to keep it away.

One-time treatment

For a single problem, with an optional follow-up visit.

Commercial monthly

A set monthly fee with a service log, which restaurants and food businesses need for inspections.

Typical payment terms

  • Due on completion for one-time treatments
  • Plans billed per visit or monthly by card
  • Commercial accounts Net 30
  • Termite warranties renewed yearly

Whatever terms you use, put them on the invoice itself. A due date printed on the page is easier to enforce than one mentioned on the phone. See how to collect overdue invoices for what to do when a customer is late.

Sales tax, GST/HST and PST on pest control work

United States

A number of states tax pest control as a service, sometimes only for commercial property; many don't. Products sold separately may be taxable as goods.

Check your state's rules for both residential and commercial work.

Canada

Pest control is a taxable service for GST/HST once you're registered.

In provinces with PST, check whether the service or the products you supply are taxable.

Check a rate with the US sales tax calculator or the GST/HST calculator, then set it beside the tax lines in the template. Both tax lines can be renamed, so one invoice works for sales tax, HST, or GST plus PST or QST.

The example, filled in

The Invoice sheet opens filled in with the example in the preview: a US pest control company starting a quarterly plan, invoice PC-7720 for an example customer. The lines come to a subtotal of $392.00 and a total of $415.52. Payment terms are 15 days. The figures are made up to show the layout; they are not market rates.

This example uses a made-up 6% rate for a state that taxes pest control. Many states don't; check yours.

The notes box reads: “Inspection included at no charge with the treatment. Re-treatment between visits is free under the plan. Product labels and safety sheets available on request.”

Questions

Should I list the products I used?

Yes. Customers ask, and many jurisdictions expect applicators to keep records. The invoice is a convenient place to note them.

How do I bill a quarterly plan?

One line per quarterly visit, or a monthly charge. Set up a repeat invoice so you don't have to remember.

Should I charge for re-treatments?

Under a plan, many companies don't, as a selling point. Outside a plan, charge a set re-treatment fee.

How do I show a free inspection?

As a line at zero. It shows the value the customer received.
