Why a handyman invoice needs its own layout

A handyman visit is rarely one job. It's a to-do list: a sticking door, a leaky tap, three pictures and a loose railing. Billing it as "4 hours, $280" works, but itemising the tasks tells the customer what they got and makes the next booking easier.

This template lets you price by task or by the hour, add materials you picked up, and apply a minimum charge. The example is a half-day visit for a homeowner, set in a province where the handyman is under the GST/HST small supplier limit and not registered.

What to include on a handyman invoice, and why

  • Each task on its own line. The customer sees the list they gave you, ticked off. It also shows which tasks took longest, which helps you price them next time.
  • Time in and out. If you bill by the hour, the times on the invoice make the hours easy to accept.
  • Materials with a receipt reference. Customers often want to know you didn't overcharge for a $6 part. Keep the receipts and note them.
  • Your minimum charge. If a visit came in under the minimum, say so on the invoice so it doesn't look like padding.
  • Whether you're registered for tax. In Canada, if you aren't registered for GST/HST, a short note explains why there's no tax line.

How to price it

Hourly with a minimum

Simple and fair for mixed lists. A one- or two-hour minimum makes small visits worth the drive.

Per task

Price common jobs at a set amount. Customers like knowing the cost in advance, and you earn more as you get faster.

Materials

Either at cost plus a stated markup, or at cost with your time for the shopping trip billed as labour. Pick one and say it on the invoice.

Typical payment terms

  • Due on completion or within 7 days for homeowners
  • Card, e-transfer or cheque; say which you take
  • Materials paid up front on bigger jobs
  • Repeat customers and landlords on Net 15

Whatever terms you use, put them on the invoice itself. A due date printed on the page is easier to enforce than one mentioned on the phone. See how to collect overdue invoices for what to do when a customer is late.

Sales tax, GST/HST and PST on handyman work

United States

Most states tax the materials you sell; whether handyman labour is taxable depends on the state and whether the work is a repair or an improvement to the building. A few states tax most services.

Check your state's rules, and remember that small handyman businesses still have to collect tax where it applies. There is no federal small-business exemption from state sales tax.

Canada

If your taxable sales are $30,000 or less over four consecutive calendar quarters, you can stay unregistered as a small supplier and don't charge GST/HST. Once you pass the limit, you must register and charge it.

Registered handymen charge GST/HST on labour and materials alike. In provinces with PST, work on a building is usually treated differently from repairs to goods; check your province.

Check a rate with the US sales tax calculator or the GST/HST calculator, then set it beside the tax lines in the template. Both tax lines can be renamed, so one invoice works for sales tax, HST, or GST plus PST or QST.

The example, filled in

The Invoice sheet opens filled in with the example in the preview: a handyman who is not registered for GST/HST (a small supplier), invoice 1042 for an example customer. The lines come to a subtotal of $356.50 and a total of $356.50. Payment terms are 7 days. The figures are made up to show the layout; they are not market rates.

A Canadian handyman with taxable sales of $30,000 or less over four consecutive calendar quarters can stay unregistered as a small supplier, and then doesn't charge GST/HST.

The notes box reads: “Thanks for having me back. Payment by e-transfer or cheque within 7 days. Not registered for GST/HST (small supplier).”

Questions

Should a handyman charge by the hour or by the job?

Both work. Hourly is easiest for mixed lists; per-task pricing suits common jobs you can time well. Many handymen use per-task prices with an hourly rate for anything unusual.

Do I need to charge GST/HST as a handyman?

Only once you're registered. Below $30,000 of taxable sales over four calendar quarters you can stay a small supplier. If you register voluntarily, you charge it and can claim input tax credits.

Can I mark up materials?

Yes, if you're upfront about it. Either state the markup or bill your shopping time instead. Hidden markups are what customers object to.

What's a minimum charge?

The least you charge for a visit, usually one or two hours. It covers travel and set-up on small jobs.
