What it is

A balance sheet is a snapshot of the business on one date. Assets (what it owns) always equal liabilities (what it owes) plus equity (the owners' stake).

Comparing two dates shows how the business changed: more cash, less debt, more owed by customers. This template also checks that it balances and works out the ratios lenders look at first.

Who it's for

  • Owners preparing for a loan or lease application
  • Year-end reviews with a partner or accountant
  • Businesses keeping books in a spreadsheet for now

What's in the file

SheetWhat it holds
Balance sheetCurrent, fixed and other assets; current and long-term liabilities; equity; totals; a Balanced check for each date; and working capital, current ratio and debt to equity.
InstructionsWhere each number comes from.

How to use it

  1. Enter your company name and the two dates, such as this year end and last year end.
  2. Clear the sample numbers.
  3. Enter each balance on the date: bank balances from reconciled statements, receivables from unpaid invoices, payables from unpaid bills, loans from lender statements.
  4. Enter accumulated depreciation and owner's draws as negatives.
  5. Take net income for the year from your profit and loss.
  6. Check the Balanced row. If it says Off by, something is missing or entered twice.

Pale yellow cells are for your entries; white cells calculate. Nothing is locked, so you can rename lines, add rows inside a section, or change the layout. Each file has an Instructions sheet with these steps.

Questions

Why must a balance sheet balance?

Everything the business owns was paid for either with borrowed money (liabilities) or the owners' money and kept profits (equity). So assets always equal liabilities plus equity. If they don't, a number is wrong.

What's a good current ratio?

It depends on the industry, but above 1 means current assets cover the bills due within a year. Many lenders like to see 1.2 or more. A very high ratio can mean idle cash or slow-moving inventory.

Where does net income go?

Into equity. This year's net income from the profit and loss appears in equity until year end, when it moves into retained earnings.
