What happens to your QuickBooks Desktop file when your subscription ends
Intuit says a lapsed Desktop Plus subscription gives you 12 months of view-only access with export. Here is what that means, and how to keep your history usable.

What Intuit says
For QuickBooks Desktop Plus for Windows 2023 R3 or newer, and Mac Plus 2024 or newer, Intuit's help pages say that if your subscription becomes inactive you will have view-only access to your data for 12 months. You can still export your existing data, but you cannot edit it with an inactive licence. Support, data recovery and Intuit Data Protect end with the subscription.
Intuit does not say what happens after those 12 months. Plan as if you will not be able to open the file afterwards.
Why only QuickBooks can open it
A QuickBooks Desktop company file (.QBW) is a proprietary, encrypted database. No other accounting program can open it directly, and Intuit does not publish its format. Moving your books anywhere else means exporting from QuickBooks while it still runs, or reading the data through Intuit's own interfaces on the same PC.
That is the real deadline: not the day the subscription ends, but the day you can no longer run QuickBooks to export.
Your options
- Renew. Existing Desktop Plus subscribers in the US can keep renewing. Intuit has raised prices several times since 2024, most recently on October 1, 2026 according to the trade press; check your renewal notice.
- Move to QuickBooks Online with Intuit's migration tool. You move to a monthly subscription in a browser, and some Desktop features and reports work differently.
- Move to Enterprise, the only Desktop edition still sold to new US customers, on an annual subscription priced by quote.
- Move to another desktop program that imports QuickBooks data, and keep a file you own. AcboBooks is built for this: $399.99 once, and it reads QuickBooks Desktop lists, balances, open invoices, unpaid bills and credit memos.
Keep your history usable
Whatever you choose, do these while your subscription is still active:
- Make a full backup (.QBB) and a portable copy (.QBM), and store them off the PC.
- Export the reports you will need for audits and tax questions: trial balance, general ledger, balance sheet and profit and loss for every year you must keep, plus customer and vendor lists. See how to export everything.
- Save payroll summaries and the year's W-2, 1099, T4 or T4A details.
- Move the open data (lists, balances, unpaid invoices and bills) into your new program and check the trial balance matches.
The IRS generally expects records supporting a return to be kept for at least three years, and longer in some cases; the CRA generally requires six years. Your exported reports are part of those records.

Bring your history across before the clock runs out
AcboBooks imports QuickBooks Desktop lists, balances and open invoices and bills, then keeps your books in a file you own and can keep opening without a subscription.
